Crayon Studios Terms & Conditions
Welcome
Thanks for choosing Crayon! We're so excited to collaborate with you.
These Terms & Conditions outline how we'll work together and help ensure every project runs as smoothly as possible. By accepting a proposal, paying an invoice or purchasing a package through our website, you agree to these Terms & Conditions.
Project Acceptance
A project is considered confirmed once a proposal has been accepted or payment has been received.
Crayon reserves the right to decline projects that are not aligned with our services, values or availability.
Payment
Payment terms will be outlined in your proposal or at checkout on our website.
For package purchases made through our website:
A 30% deposit is required to secure your place in Crayon's project schedule.
The remaining balance will be charged in two equal monthly instalments.
If an instalment payment is not received by the due date, Crayon reserves the right to pause work until payment has been received. Any resulting delays to the project timeline will not be the responsibility of Crayon.
For custom projects, payment terms will be outlined in your proposal or invoice.
Final artwork and any editable files will be supplied once all outstanding invoices have been paid in full.
Scope of Work
Your proposal or selected package outlines what is included in your project.
Any work requested outside the agreed scope may require an updated quote and timeline. No additional work will commence without your approval.
Project Timelines
Project timelines rely on the timely provision of feedback, approvals and required content.
Should feedback or project materials be delayed, timelines may be adjusted accordingly.
If a project remains inactive for more than 30 days, Crayon reserves the right to reschedule the remaining work based on current studio availability.
Revisions
Each package or proposal includes a specified number of revision rounds.
Additional revisions or significant changes outside the agreed scope may incur additional charges, which will always be discussed and approved before proceeding.
Cancellations & Refunds
Due to the nature of creative services, payments are non-refundable once work has commenced.
Should a project be cancelled after work has begun, Crayon reserves the right to invoice for work completed up to the cancellation date.
Artificial Intelligence
Crayon believes the best creative work comes from human collaboration, strategic thinking and genuine creative expertise.
For this reason, clients agree not to use generative AI tools to analyse, critique or generate feedback on creative concepts, presentations or deliverables during the design process. Feedback should reflect the views of the project stakeholders to ensure a collaborative and productive creative process.
Crayon may use AI-powered tools to assist with internal administration, research, workflow automation, scheduling or operational efficiencies. AI is not used to generate the strategic thinking, creative concepts or final design work that forms part of your project.
Canva, Website Platforms & Third-Party Services
Where Canva templates are included, clients are responsible for maintaining their own Canva account following project handover. Some features may require a Canva Pro subscription, this will be discussed as part of the project scope.
For website projects, ongoing costs such as website subscriptions, hosting, domains, email services or third-party integrations remain the responsibility of the client unless otherwise agreed in writing.
Printing, stock photography, fonts, software licences and other third-party services are not included unless specifically outlined in your proposal.
Intellectual Property
Ownership of final approved artwork transfers to the client once all outstanding invoices have been paid.
Crayon retains ownership of all preliminary concepts, working files, sketches, strategy documents, design processes and any concepts that are not selected, unless otherwise agreed in writing.
Portfolio & Marketing
Unless otherwise agreed in writing, Crayon may feature completed work across its portfolio, website, social media channels, award submissions and other marketing materials.
Where projects are confidential or embargoed, Crayon will always respect agreed release dates and confidentiality requirements.
Client Responsibilities
To help your project run smoothly, you agree to:
Provide accurate information and project requirements.
Supply required content, imagery and approvals in a timely manner.
Review work carefully before providing approval.
Meet agreed payment dates.
Nominate a primary contact where multiple stakeholders are involved.
Communication
Project communication will primarily take place via email unless otherwise agreed.
Meeting notes, approvals and key project decisions should be confirmed in writing to avoid misunderstandings.
Liability
While every effort is made to deliver accurate and high-quality work, Crayon cannot be held responsible for losses arising from the use of completed artwork, printing, website deployment or third-party services.
Clients are responsible for carefully reviewing and approving all final artwork, content and layouts before production, publication or launch.
